Manager Overrides allow users with a Manager Code to apply discounts (or in some cases increases) to reservation totals. Only 1 manager override may be applied to a reservation at a time and can not be combined. In order to remove a Manager Override completely after an override has been applied, the user must select the Clear Overrides button located at the top of the modal (only deleting the amount in the field shown will not remove the override but rather update it to a new value).
The Manager Discounts dropdown, presents a list of pre-set, custom discounts created by a Company Admin user that allows for quick, consistent application of a discount in pre-determined scenarios and amounts. Keep in mind that Manager Discounts will always apply to the entire reservation and never to just one set of Customer Types.
- For example, if you have created a Manager Discount of 20% off for First Responders, applying this discount will provide 20% off to the entire reservation, not just the members of the group who have identified themselves as First Responders. For some venues, this can certainly be the intention. If one member of the group is a First Responder, then the whole group gets 20% off. Other venues may prefer to give a discount to only specific members of the group (also known as Customer Types in RKd) and there are other ways to accomplish this within the platform.
The Discount by Amount, free-form option allows the manager to apply custom discounts to a reservation in either the form of a percentage off the subtotal or a specific dollar amount off the sub-total. Simply select the percent or dollar amount option and then enter the amount of the discount in the field to the right of the selection.
- Keep in mind that the discount will apply to all future changes to the reservation including addition or subtraction of members to the group. In the event that a deposit has been paid and then a discount is applied that reduces the amount due below what has already been paid, the balance due will display as a negative number indicating an over payment and a refund due to the customer. The discount will always be applied to the original subtotal of the reservation and NOT the remaining balance at the time of application.
The Manager Override option called Set a Flat Rate allows a manager to dictate a specific dollar amount of the sub-total to be collected. By default, this will apply only to the sub-total but you can also select the checkbox Apply Flat Rate After Taxes & Fees which will instruct RKd to calculate the final total, including taxes & fees, as the amount entered rather than only the sub-total.
- It is very important to remember that this type of discount will override any and all changes to the reservation while the discount is applied and not just the the total at the time of applying the discount. For example, if a reservation of 4 guests has a flat rate set to $100 including taxes & fees, that price will not change if the number of guests is increased in the future. In some cases this can certainly be the intention, however, it can and has caused confusion after the application of the flat rate when someone attempts to update the reservation in the future.
- Setting a flat rate is also a great way to Increase the subtotal of a reservation in the event that you need to add custom cost for any reason.
Lastly, Promo Codes can be applied to a reservation by admin and staff members here if your venues policy is to accept promo codes in person as well as via the online booking process on your website. Promo codes need to be created at the Package level or the Resource Type level and adhere to any restrictions or limitations set (date ranges, minimum # of guests, customer types etc) in order to apply successfully. When done correctly, applying promo codes can be a great way to provide discounts to a specific Customer Type rather than a discount to all members of the reservation (see First Responders example above).
