Contact Email
The email address entered in this field will be used as the address presented to your customers in automated email communications. This email address is often a generic address for the business such as info@, contact@, sales@, etc. but can also be the email address of a manager or owner if preferred. Whenever possible this email address should be location specific.
Contact Name
The most common entry here is some form of “Customer Support”, “Customer Service”, “Support”, etc. but can also be the name of a manager or owner.
Contact Phone
Similar to the 2 fields above, this phone number is used in automated email communication and is almost always the main phone number for the location. This number could also be for a customer support line, manager or owner of the business.
Sales Tax Rate
The sales tax rate entered here will be used to determine the default sales tax percentage for all reservations at the given location and all merchandise purchases made via the Basic Merch POS.
If your local tax authority does not require that you collect and pay sales tax on reservation sales, you should still set this field to be the standard sales tax rate on merchandise but then also deselect the “Reservations Taxable?” toggle below. Deselecting this toggle will instruct the RKd platform to charge NO sales tax for reservation sales but will still charge sales tax on merchandise sales.
If your local tax authority requires that sales tax is collected on both reservations and merchandise but the sales tax percentages are different between the two, you should set this field to the sales tax rate for reservation sales and then customize the sales tax rate on merchandise Products. Products for sale via the Merch POS can be found in the left navigation under the POS section and you will have the ability to customize sales tax rates on individual products if needed.
Quote Expiration Reminder
The quote expiration reminder drop down allows you to choose how many hours prior to the expiration of a quote that an email is sent to let the potential customer know that a quote is expiring. Options include 24, 48 and 72 hours. More detailed information about how quotes work in RKd can be found by navigating to the feature specific help button next to the Quote Toggle in the calendar drawer.
Reservations Taxable?
As mentioned above, this toggle allows you to not charge sales tax on reservations if your local tax code allows for this. Please consult with a local CPA or tax advisor before choosing to not collect and pay sales tax on reservation sales. Businesses using RKd Solutions are solely responsible for collecting, reporting, and remitting required sales taxes to the appropriate sales tax authority.
Send Text Confirmation?
Toggling on this setting will instruct RKd to send reservation confirmation texts to customers who use a mobile phone number as their primary phone number when making a reservation. Text confirmations will include a link to complete a waiver for the reservation and are very easy for your customers to copy and paste then share to the rest of the group. Texts are formatted as follows:
(NO-REPLY) Awesome Axes: Reservation #AAX-4365-8102 on Aug 31 @12:00pm EDT. Please complete your waiver before arrival and forward this text to the rest of your party. https://rkdsolutions.page.link/SJmz
Include Payment Link In confirmation?
With this setting toggled on, RKd will include a payment link in confirmation emails which customers can then use to make payments in addition to the initial deposit made for their reservation (if not paid in full). This link is particularly useful when customers accept a quote via email (described below) and have yet to make the initial deposit payment.
Allow customer to accept/reject quote from email?
When emailing a quote to a customer, you may want to give them the ability to accept or reject the quote via a link embedded in the email. When customers accept a quote through this process:
- The quote on your calendar is automatically updated to a confirmed reservation
- The customer will receive a confirmation email
- You will receive a staff confirmation email.
When you include the payment link in confirmation emails, the customer can even pay their deposit without ever having to call you and give the payment information over the phone.
When customers reject a quote via the emailed link, the quote is cancelled automatically and removed from your calendar to make room for others to book. Some business owners and managers may not want to give customers the ability to accept or reject a quote without direct contact and would prefer to have a last sales opportunity before a customer rejects the quote. In this case, you may leave the toggle unchecked.
