First and foremost, Waivers in RKd are used to allow customers of your venue to sign liability waivers prior to engaging in the reserved activity. While Waivers are managed at the Company (highest) level and only one waiver is needed to account for multiple locations, wavier's in RKd can also be set up in such a way that waivers can be specific to one of many locations (custom waiver for each location) or also be specific to one activity types at your venue if you have multiple activities. RKd also provides several different paths for your customer to find and sign their waiver and we'll discuss all of these options here.
Secondary to signing the legal form necessary for participating in the assigned activity, integrated Waivers also provide a invaluable way for you to run reports on your customer base and understand the general demographics of your clientele. Waivers in RKd do have a few required pieces of information that are needed in order to qualify as a legal document, however, RKd Waivers also have optional data points depending on your venue's custom settings. Additionally, RKd provides for a Mail Chimp integration that allows the contact information of your customers (who have opted-in into marketing emails) to automatically be uploaded into your email marketing and newsletter campaigns.
Lastly, when using integrated Waivers as a part of your RKd venue management, ALL participants of a reservation are assigned to their respective reservations which allows RKd to report on first time customers vs repeat customers, manage loyalty programs and also send a follow up email at the end of reservations to ALL of the guests rather than only the person who made the reservation.
Let's answer some common frequently asked questions:
How do my customers sign their waiver?
Great Question! Waivers can be signed prior to arrival at your venue as well as once they on-site through one of many different paths to the waiver signing process.
- Waiver link included in the confirmation email received by the person who made the reservation. This email can also be forwarded to the rest of the group which is most common among coworkers for team building events
- Waiver link is included in the confirmation text message sent to the person who made the reservation (provided that they used a a mobile phone number when making the reservation. This text message can then be forwarded to the rest of the group which is convenient for groups who don't generally have an email address for all of the members.
- Waiver link added to your website. Customers can sign a waiver by clicking on a “Sign our waiver” button added to your website whether or not they have the reservation number at the time they sign the waiver.
- Waiver link sent from you to the customer. There are several different places through out the platform where you can copy and paste the waiver url into an email for your customer if they “lose” the confirmation email and request for you to send it to them
- While present at your venue - Waiver Kiosk at the front desk using a venue provided device (tablet). Our Waiver Kiosk view provided your customers with the list of upcoming reservations so they can choose the one they are a part of and are not required to have a reservation number in order to complete the waiver at time of check-in
- While present at your venue - QR code presented to the guest at the check-in counter. RKd automatically generates these QR codes on your behalf which you can then save and print for display. While a venue provided device is highly recommended, QR codes provide a ay for your customers to sign waivers on their own device and take advantage of autofill settings which can speed things up quite a bit.
Do you accommodate waivers for Minors (17 and younger)?
Yes. Minor waivers can be enabled at the Company level and allows for parents or guardians to sign Waivers on the Minor's behalf. When enabled, a Minor option is added to the waiver signing process (in addition to Adult and Returning Guest) and parents or guardians can sign waivers for multiple Minors at a time. It is important to note that during the Minor waiver signing process, RKd is capturing and recording the name and age of the minor only while the contact information collected is that of the Parent or Guardian in the event they need to be contacted but are not present at the time of the reservation.
How long are waivers good for?
By default, Waivers in RKd are valid for 12 months from the date it was signed. This allows for your returning customers to be added to reservations in the future without having to sign the waiver again.
Once the 12 month period has passed, your customers will be asked to resign the waiver when following the “returning customer” path in the waiver signing process. In this case, all of the personal and contact information of the customer is prefilled with the original information they provided and the customer only needs to resign during this process. Additionally, if you would like for your customers to resign the wavier during *every visit, we can accommodate that option as well by enabling the “Always force new signature” option in the waiver edit page (this can be enabled for only specific waivers and not all waivers if needed).
What if my customer says they don't have an email address or they share it with someone else in their group?
Due to the fact that many people share the exact same name (ex. John Smith), RKd uses email addresses as a unique identifier for organizing your customer base. In the situation where customer claim to not have an email address, they will either use a made up email address (which we do not encourage) or if they share and email address (potentially with a significant other) they may also elect to use a common email “trick” for email fields like this. Can I create different waivers for each of my locations?
Yes! For Companies with multiple locations to manage, when creating your waivers, simply choose the Location drop down and change it from All (default) to a specific location of your choosing.
Can I create different waivers for each of my Resource Types?
Yes! For Venues with multiple activity types to manage, when creating your waivers, simply choose the Location drop down and change it from All (default) to a specific location of your choosing and then also select the Resource Type drop down to choose a specific Activity Type.
Can I edit the data points captured during the wavier signing process?
Yes! The following data points are optional and can be removed from waivers if you choose.
- Zip Code
- Gender
- Phone number
The following data points are NOT optional and must be included as a part of the RKd waiver
- First Name / Last Name
- Birthdate (to ensure the signer is not a Minor)
- Email address
