Resource Settings

Resources in RKd refers to the reservable or rentable resources of your facility.  Thanks to the customizable nature of the RKd platform, a resource can be nearly anything that you would like to make available for renting or reserving to a certain number of people, for a certain amount of time, for a certain dollar amount.  Resources are usually numbered by the admin user during setup or they can also be given individual, custom names if you'd prefer (Main Meeting Room, VIP Area, Mount Everest Bay, etc). The most common Types of resources are below:

  • Axe Throwing: Lanes, Targets, Bays
  • Golf Simulators: Bays, Tees
  • Escape/Rage Rooms: Rooms, Puzzles, Challenges
  • Archery: Bay, Range, Targets
  • VR: Rooms, Headsets
  • Curling: Sheets
  • Bowling: Lanes
  • Pickleball, Tennis, Pingpong: Courts
  • Party Rooms, Meeting Rooms, Conference Rooms
  • Mobile versions of your brick and mortar business


The Max Capacity settings allows you as the admin user to set the maximum number of participating customers that can be booked on any one resource at a time and also allows for the maximum capacity to differ between Resources.  Keep in mind that if your venue uses Customer Type pricing, non-participating Customer Types will not count towards the Max capacity limit set for the Resource.  Once a group size exceeds the Max Capacity, RKd will assign additional Resources until enough are reserved to accommodate the group size.  Groups assigned to multiple Resources will *always be assigned to Resources that are adjoining.


Color customizations are available as visual cues for your staff when presenting non-standard Resources so they stand out a little from the rest, or simply to have a little fun with the presentation and customize the look and feel of your calendar.


By Default, all Resources have the Active Toggle turned on and are expected to be used nearly immediately after being created.  Even when Active, Resources can only be be booked if they have been added as an available resource on a package that is intended to be used to create a reservation for the Resource.  


In order to Deactivate a Resource, there must be no upcoming reservations that are currently booked for that resource.  Resources that are scheduled to have a reservation on them in the future may not be deactivated until all future reservations are moved to a different Resource.  


In preparation for deactivating a resource in the future, you can choose to toggle on the “Resource is not bookable” option which will prevent any additional reservations from being made on that resource even without having to remove its availability from existing Packages.  Then, once all reservations booked on that resource are in the past, the Resource can be toggled off into the Inactive status.


Lastly, if your venue has resources which are not physically adjacent to each other, you can designate a resource as Non-adjacent to Previous and this will prevent large group reservations, that are booked on multiple resources, from booking on 2 or more resources where the group would be split up in the facility.  For example, maybe your indoor golf facility has 8 bays and 4 of them are set up on the right side of the facility while the other 4 are set up on the left side of the facility.  In this scenario you may want to designate lane 5 as Non-adjacent to Previous in order to prevent a single, multiple bay reservation from being booked on bays 4 and 5 which would otherwise have the group separated during their reservations.


It is important to keep in mind that this setting can also prevent large groups from booking at all if the package or packages are not set up properly to account for the non-adjacent designations.  For example, in the scenario above, a very large group that requires 5 or more bays for their party will not be able to book at all because there are only a maximum of 4 Resources which are adjacent to each other (1-4 and 5-8).  In order to prevent this, make sure to select the “Do not require resources to be adjacent?” toggle when creating or editing your package settings in order to override this setting and allow large groups to break this rule.  This specific situation is also a good example for creating 2 separate packages with different settings.  1 package for small groups that will never need more than 4 bays for their group size and a second package for large groups and/or full facility rentals that will *always need more than 4 bays for their group size.
